About the Role

We are looking for a confident Administrative Assistant to work with our CEO and Managing & Cultural Director in our London office located in Clerkenwell. We need a creative individual with a background in Arts / Design / Architecture who can administer priorities, represent the organisation, handle details of the Director’s schedules and be excited by our work and feel confident with the arts world on a basic level to clients, associates etc. If you meet our essential criteria and are looking for a role in a friendly, creative and exciting team, please send your CV with a short cover email explaining your interest to Anna Haylock, HR Manager on [email protected] N.B. What You're Gonna Do

DIARIES & APPOINTMENTS: - Organising and managing diaries and making appointments; keeping atop of changing needs and flagging issues proactively - Client Liaison on behalf of the Directors - Arranging travel, visas and accommodation - Setting up equipment for meetings, conference and video calls - Meeting and greeting clients and arranging refreshments - Screening phone calls, enquiries and requests, and handling them when appropriate - Dealing with incoming email and post ASSISTANCE - Organising and attending meetings on occasion to take notes and ensuring the managers are well prepared for meetings - Working with the Project Managers and Heads of Department to juggle priorities for the CEO and Cultural Director - Preparing drafts of presentations and assisting with proposals - General office management, keeping the office neat and supplied - Devising and maintaining office systems, including data management and filing - Proofreading and checking copy - Potential to assist with projects FINANCIAL - Data entry of office expenditure - Compiling expenses for CEO and Cultural Director

About You

- Expert in all things admin and organisation - Exceptional attention to detail - Background or Interest in the arts / architecture / design industry / cities - Confident and creative in design software such as InDesign and Illustrator - Tech savvy as you’ll be setting up audio visual equipment, using macs etc. - Global awareness to understand different time zone issues and managers who are frequently travelling - Highly efficient communicator - Proactive and friendly attitude - Multi-tasking ability and flexibility to work in a dynamic and ever-evolving environment - Works well under pressure to meet tight deadlines - Global awareness to understand different time zone issues and managers who are frequently travelling

Salary

£25k per annum
